Fulfillment Hub USA (“Company,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy describes how we collect, use, share, and safeguard your personal information when you use our website or services. By using our website or any Fulfillment Hub USA services, you acknowledge that you have read and agree to this Privacy Policy. Your use of our services and any dispute over privacy is subject to this Policy and our Terms & Conditions, including applicable limitations on damages and dispute resolution under the laws of the State of Florida (Miami-Dade County).

Scope: This Privacy Policy applies to information we collect from clients and users in the United States. We do not offer our services outside the U.S. at this time, and this Policy is intended to comply with applicable U.S. laws. We may provide additional notices to you in certain circumstances, such as for specific services or as required by law.

Information We Collect

 

We collect various types of information to effectively operate our fulfillment, warehousing, logistics, embroidery, customer service, freight, shipping, and inventory management services. The types of personal information we collect include:

  • Information You Provide: We collect the personal information you provide directly to us. This includes identifying and contact details such as your name, company name, email address, telephone number, fax number, date of birth, billing and shipping address, and other contact information. We also collect business identification details like Employer Identification Numbers (EIN) or other tax identification numbers, and in some cases government-issued identification (e.g. driver’s license or other ID) if required for certain shipments or services. If you make purchases or use paid services, we collect payment information (such as credit card details or bank account information) via secure processing. You may also provide information when you communicate with us (for example, through customer service inquiries, emails, or phone calls) or when you fill out forms on our site (such as quote requests, account registration, or contest and survey responses). Providing personal information is voluntary, but certain services may not be available if you choose not to provide required information.

  • Information We Collect Automatically: When you interact with our website or emails, we automatically collect certain technical and usage information. This may include your Internet Protocol (IP) address, device and browser type, operating system, referral URLs, pages viewed, links clicked, and the dates/times of access. Like many websites, we use cookies, web beacons, and similar tracking technologies to collect and analyze information about your use of our site. For example, we may record your browsing behavior and site interactions (such as pages visited, time spent, and navigation paths) to understand user experience and improve our services. We may also log information about your transactions and shipments (such as shipping history, tracking numbers, and delivery confirmations). Some of this data is collected by third-party analytics tools (e.g. Google Analytics or HubSpot analytics) that use cookies or scripts on our site. You can disable or limit some tracking (see Cookies and Tracking Technologies below), but note that certain features may not function if cookies are blocked.

  • Information from Third-Party Sources: We may receive information about you from other sources to supplement or update our records. For example, we might obtain updated address or contact information from carriers (such as USPS, UPS, FedEx, or other shipping/delivery partners) or from address verification services to correct our records and facilitate smooth delivery of your packages. We may receive information from our affiliates or business partners, such as lead referrals or joint marketing partners. If you interact with us via social media or other platforms, we may receive your public profile or other information from those services according to their privacy policies. We may also receive credit or financial history information from credit bureaus or payment processors for fraud prevention and to extend certain services (e.g. offering credit terms to qualifying clients). Any information we receive from third parties will be treated in accordance with this Privacy Policy and any additional restrictions imposed by the source of the data.

Note: We do not knowingly collect personal information from children under 13. Our services are intended for businesses and adults. If you are under 18, you may use our website and services only with the involvement or permission of a parent or guardian. (See Children’s Privacy below for more information.)

How We Use Your Information

 

We use the personal information we collect for a variety of legitimate business purposes to operate and improve our services. These purposes include:

  • Providing and Fulfilling Services: We use your information to operate our core business of fulfillment and logistics. This includes processing your orders and requests, managing warehousing and inventory, picking and packing products, shipping and delivering packages, managing customs or import/export as needed, handling embroidery or product customization services, and providing related logistics services. For example, we use names and addresses to label and ship packages, and we use EIN or tax ID information to comply with shipping regulations or provide customs documentation when necessary.

  • Account Management and Customer Service: We use personal details to maintain your account, verify your identity when you access your account, and provide customer support. This includes communicating with you about your account status, responding to your inquiries, handling returns or complaints, and providing technical support or training regarding our software platform and integrations (such as our warehouse management software or integrations with e-commerce platforms).

  • Communications and Transactions: We use your contact information (email, phone number, mailing address) to communicate with you about transactions or services. We will send you transactional communications such as order confirmations, shipping and tracking updates, billing invoices, account balance notices, password reset emails, and other important notices. We may also send you administrative messages such as service announcements, security alerts, policy updates, or information about changes to our services.   • Marketing and Promotional Communications: We may use your information to inform you about new services, promotions, newsletters, or other offers that might be of interest to you. For example, we might email you with special offers, logistic tips, or company news, or we might send discounts available for additional services like co-working space or training from our Fulfillment Hub USA Academy. We only send marketing emails or texts to clients or prospects who have provided their contact information (such as by creating an account, requesting a quote, or otherwise expressing interest in our services). Opt-Out: You have the choice to opt out of promotional communications at any time (see Your Rights and Choices below). We do not send unsolicited mass marketing messages to individuals who have not had any contact with us. If you are receiving marketing messages from us, it’s because you have an existing relationship or have indicated interest; however, you can unsubscribe or opt out at any time.

  • Improving and Personalizing Services: We use the information we collect (particularly usage data and feedback you provide) to analyze and improve our services and website. This helps us debug issues, develop new features, and enhance user experience. For example, we might track how clients use our online shipping calculator or self-onboarding portal to make those tools more user-friendly. We also may use data analytics to personalize content and recommendations for you, such as tailoring our website or dashboard to show relevant services (e.g. suggesting our FBA Prep service if you frequently ship to Amazon warehouses). Additionally, we may use cookies to remember your preferences (such as language or location) for a customized experience.

  • Advertising and Retargeting: As part of our marketing strategy, we may use cookies and third-party advertising networks to show you ads for our services on other websites (often called retargeting). For example, if you visited our site and viewed information about international shipping, you might later see an advertisement from Fulfillment Hub USA on another site highlighting our global shipping solutions. Any such advertising usage involves online identifiers (like cookie IDs or pixels); we do not share your name, phone, or email with third-party advertisers for their own marketing.   • Legal Compliance and Protection: We may use your information as necessary to comply with applicable laws and regulations, and to respond to lawful requests or court orders. For example, we might use and retain transaction records for tax and accounting purposes. We also use personal information to enforce our agreements and policies (such as our Terms & Conditions), to detect and prevent fraud, security incidents, or other malicious, deceptive, or illegal activities. If needed, we will use information to protect the rights, property, or safety of Fulfillment Hub USA, our customers, our employees, or others. This may include using data to investigate or take action regarding suspected fraud or to ensure the security of our IT systems and warehouses.

  • Business Operations and Transfers: We use information in connection with routine business operations such as auditing, finance, analytics, planning, and transactions. If we undergo a business transaction such as a merger, acquisition, corporate reorganization, or sale of all or part of our assets, your personal information may be used and disclosed as part of that process to evaluate and consummate the transaction. We will only use your personal information for the purposes described above and will obtain your consent if we plan to use it for any additional purposes that are not compatible with those you originally provided it for, except where otherwise permitted or required by law.

Cookies and Tracking Technologies

 

Cookies: Fulfillment Hub USA and our third-party partners (such as analytics and advertising providers) use cookies, pixels, and similar tracking technologies on our website. Cookies are small text files stored on your browser that allow us to recognize your device and remember certain information about your visit. We use cookies for several reasons:

  • Essential Cookies: Some cookies are necessary for our site to function properly (for example, to keep you logged in to your account or to remember items you place in a shopping cart).

  • Analytics Cookies: We use these to collect information about how visitors use our site, which pages are popular, what referral sites or search terms led you to us, and so on. This helps us improve site functionality and understand user interests.

  • Advertising Cookies: We and third-party advertising networks may use cookies or pixels to collect information about your browsing activities on our site (and, in some cases, on other sites) in order to provide you with targeted advertising for our services. For instance, an advertising cookie may note that you visited our “Domestic Shipping” page, so we could later show you a Fulfillment Hub USA ad highlighting discounted domestic shipping rates.

Your Choices for Cookies: On your first visit to our website, you may see a cookies notice or banner (if applicable) to inform you of our use of cookies. You can control or delete cookies through your browser settings. Most browsers allow you to refuse new cookies, be notified when you receive a cookie, or delete existing cookies. However, please note that blocking all cookies might impact your ability to use certain features of our site. Additionally, some third-party analytics and advertising services we use may offer their own opt-out mechanisms.

Web Beacons and Similar Technologies: In addition to cookies, we may use web beacons (also known as pixel tags) in our emails or on our site. These are tiny graphic images or scripts that collect information about your interaction (for example, whether you opened an email or clicked a link). We often use these in our marketing emails to help us understand which messages are effective and to avoid sending redundant emails. Web beacons are usually used in combination with cookies; if you disable cookies, the beacon will still record an anonymous visit but cookie information will not be associated.

Do Not Track: Currently, our website does not respond to “Do Not Track” browser signals or similar mechanisms, due to the lack of a consistent industry standard. You can use the other opt-out methods described here to control personalized advertising and tracking.

How We Share Your Information

 

We understand that your personal information is important, and we are not in the business of selling your data. We do not sell, rent, or trade your personal information to unrelated third parties for their own marketing or advertising purposes . In fact, we will not share your mobile phone number or other contact information with third parties or even our affiliates for their independent marketing/promotional use without your consent . We share personal information only in the following circumstances, and always in accordance with applicable law and this Privacy Policy:

  • Service Providers and Partners: We share personal information with trusted third-party service providers and business partners who perform services on our behalf or help us operate our business. This includes, for example:

    • Shipping and Logistics Partners: carriers and shipping providers (such as USPS, UPS, FedEx, DHL or freight trucking companies) will receive your name, address, and sometimes phone or email (for delivery updates) in order to transport and deliver your packages. We also partner with customs brokers or agents for import/export services who may receive information like your name, address, and tax ID (EIN) for customs documentation.

    • Warehousing and Fulfillment Technology: We utilize software platforms like ShipHero (a warehouse management and fulfillment platform) to manage inventory and orders. These platforms may process customer names, addresses, and order details to help us fulfill orders efficiently. Similarly, if we use other logistics software or integration partners, they will have access to the data needed to carry out their functions.

    • Customer Relationship Management and Marketing: We use platforms such as HubSpot (a CRM and marketing automation provider) to store customer contact information, track interactions, and send communications (emails, newsletters, etc.). Your contact details and communications preferences may be stored in such a system. We also may work with email service providers or marketing consultants that assist with sending out newsletters or promotional messages – they will have access to the necessary contact data for those purposes.

    • SMS Communication Providers: If we send text (SMS) messages to you (for example, order updates or verification codes), we use a third-party messaging service provider such as Twilio to send those messages. These providers will process your phone number and the content of the SMS on our behalf to ensure message delivery. They are not permitted to use your phone number for their own purposes.

    • Payment Processors and Financial Services: When you make payments to us, your payment information (credit card number, etc.) may be processed by third-party payment gateways or processors. For example, we might use Stripe, PayPal, or banking partners to securely handle payment transactions. These third parties only use your payment data to process transactions and for fraud detection/prevention. We do not store full credit card numbers on our own servers; any stored payment tokens are managed securely by our payment processors.

    • Other Vendors: We may share data with other vendors who assist us in functions such as data analysis, website hosting, cloud storage, IT support, printing or mailing on our behalf, identity verification, or background/credit checks (for instance, verifying a business client’s creditworthiness through a credit bureau as part of extending a credit line).

    These service providers are contractually obligated to handle personal information only for the purposes of providing their services to us and to implement appropriate data security measures. They are not allowed to use your information for any other purpose. We strive to only engage with partners that respect and uphold privacy and security standards.

  • Affiliates: Fulfillment Hub USA is a business unit of BedaBox LLC (as referenced in some of our legacy documents), and may have affiliate or subsidiary companies. We may share information with our corporate affiliates (entities under common ownership or control) if necessary for business operations, customer account management, or so that they can assist us in providing services to you. Any information shared within our corporate family will still be used in accordance with this Privacy Policy. (At present, our primary operations are under Fulfillment Hub USA / BedaBox LLC; if this changes or if we establish additional affiliates, we will ensure privacy protections remain consistent.)

  • Marketing and Advertising Partners: As noted, we do not sell or freely share your personal contact information to third parties for their own marketing. However, we may share certain limited data with marketing partners under controlled circumstances to help advertise or market our own services. For example, we might use a marketing platform (or social media advertising service) where we upload a list of customer email addresses or phone numbers in an encrypted/hashed format to create custom audience advertising (so that our ads can reach existing customers or similar audiences). These platforms (like Facebook Custom Audiences or Google Customer Match) typically do not get to see the raw data in plain form and are not allowed to use it except to match and show our advertisements. We may also allow third-party advertising cookies on our site (see Cookies above) which indirectly let advertising networks know that a browser visited our site, so they can display our ads to that browser. In all such cases, we do not directly hand over your personal information to other businesses for them to market their products to you. If we ever consider a promotion involving another company (for example, a joint marketing event or offering special deals from one of our partners), we would either send you the offer ourselves on the partner’s behalf (so the partner never receives your info) or, if the partner needs your info, we would do so only with your prior consent.

  • Business Transfers: If Fulfillment Hub USA (or BedaBox LLC) engages in a merger, acquisition, reorganization, or sale of some or all of our business or assets, your personal information may be transferred to the successor or acquiring entity as part of that transaction. Customer information is often a business asset in such deals. In the event of such a transfer, we will ensure that your personal data remains subject to the promises made in any pre-existing Privacy Policy, unless you consent otherwise. Similarly, if we are involved in due diligence for a potential investment or financing, it’s possible that limited information may be shared confidentially with advisors or counterparties under strict conditions (e.g., as part of evaluating our customer base), but any such sharing will be done in compliance with applicable privacy laws.

  • Legal Compliance and Protection: We may disclose personal information when we believe in good faith that such disclosure is required to comply with a legal obligation, such as responding to subpoenas, court orders, or other legal process. We also may share information as necessary to enforce our Terms & Conditions or other agreements, or to protect the rights, property, or safety of Fulfillment Hub USA, our customers, our employees, or others. This includes exchanging information with other companies and organizations for fraud prevention, security, or credit risk reduction. For example, we might share information with law enforcement or regulatory agencies if a fraud or cyber incident is being investigated. Whenever legally permitted, our policy is to notify customers of any request for their data (for instance, from law enforcement) before we disclose it, so that you have an opportunity to object – unless we are prohibited by law from doing so (e.g., if a court order forbids notifying you).

  • With Your Consent: Apart from the cases above, if there are any other situations where we might need to share your personal information, we will do so only with your consent. For instance, if you request or authorize us to share information with a third party (like a reference or a partner you’re working with), or if you direct us to integrate with a third-party service (which would require sending data to that service at your request), we will share data as needed to fulfill your request. You will get a notice and the opportunity to agree to such sharing if it’s not covered by another lawful basis.

In all cases of sharing, we aim to disclose only the minimum information necessary to achieve the purpose and to ensure appropriate safeguards are in place. If you have questions about third parties that may have access to your information, you can always contact us for more information (see Contact Us at the end of this Policy).

SMS/Text Messaging

 

We may send you informational or transactional text messages (SMS and/or MMS) if you provide us with your mobile phone number. These messages could include order and shipping updates, alerts about your account or inventory, delivery notifications, verification/authentication codes, or other service-related communications. In some cases, we may also send promotional or marketing text messages (for example, alerts about new services or special offers), but we will do so only in accordance with applicable law and your consent or preferences.

Consent to Receive Texts: By providing your mobile phone number to us (for example, during account registration, checkout, or contacting us) and by using our services, you consent to receiving text messages from Fulfillment Hub USA at that number. This includes both transactional messages and, if you have opted in, occasional marketing messages. Your consent is confirmed by your continued use of our services and is also recorded when you provide your number (for instance, by agreeing to this Privacy Policy or our Terms during sign-up). We comply with the Telephone Consumer Protection Act (TCPA) and industry guidelines for text messaging, which means we only send texts to numbers that have been provided to us for that purpose and we honor all opt-out requests.

Opt-Out – How to Stop Messages: You have the right to opt out of receiving promotional text messages at any time. To opt out, you can simply reply to any of our text messages with the word “STOP,” “UNSUBSCRIBE,” or a similar opt-out keyword. Once we receive your opt-out request, we will promptly remove your number from our text marketing list and you will no longer receive promotional texts from us . We will send a final confirmation text to acknowledge that you have been unsubscribed, and after that you will not receive further marketing texts. Please note that even if you opt out of marketing messages, we may still send you important transactional or service-related texts (e.g., a notice that your package is out for delivery or a fraud alert on your account), as permitted by law. If you wish to stop all texts from us (including transactional alerts), please contact us directly because replying “STOP” generally opts you out of marketing, but certain critical system alerts may still be sent unless you request otherwise.

Message Frequency: The frequency of text messages will vary based on your interactions and the nature of your transactions with us. For example, you might receive a series of texts during an active shipment (pickup confirmation, out-for-delivery, delivered), whereas marketing or promotional texts might be at most a few per month if you are subscribed. We do not send recurring automated texts without a legitimate purpose or your consent. We strive to keep messaging reasonable and pertinent.

Message and Data Rates: Standard message and data rates may apply to any texts we send, as imposed by your mobile carrier . You are responsible for any such charges. There is no additional fee from us for texting, but you may see charges from your carrier for SMS or data usage if you do not have an unlimited texting plan.

Help and Support: If you need assistance with our text messages, you can reply to a message with the word “HELP” for information. Alternatively, you can contact our customer support at any time (see Contact Us below for contact information) if you have questions or need help regarding our SMS communications.

Privacy of Your Phone Number: We value your privacy and adhere to A2P 10DLC (Application-to-Person 10-Digit Long Code) messaging guidelines. We will use your mobile number only to send you authorized communications as described. We will not share or sell your mobile contact information to third parties for their own marketing purposes . Your phone number may be shared with our SMS service provider (e.g., Twilio) strictly for the purpose of delivering messages, and they are not permitted to use it for any other reason. All messaging content and data are handled in accordance with this Privacy Policy.

By providing your mobile number, you “opt-in” to our texting program. If at any time you change your mind, just follow the opt-out instructions above. We are committed to complying with all relevant laws (such as TCPA) and carrier requirements to ensure that our SMS program respects your rights and preferences. Your consent to receive texts is not a condition of purchasing any goods or services (feel free to opt out and we’ll communicate with you through other means as needed).

Data Security

 

Fulfillment Hub USA takes the security of your personal information very seriously. We implement industry-standard security measures to protect your data from unauthorized access, use, alteration, or disclosure . These measures include physical, technical, and administrative safeguards:

  • Encryption: We use secure protocols such as SSL/TLS encryption to protect data transmitted on our website. For example, when you enter sensitive information (like payment details) on our site, that data is encrypted during transmission. Our databases may also encrypt certain sensitive fields (like passwords or financial information) at rest.

  • Secure Infrastructure: We store data on secure servers, and we limit access to those servers to authorized personnel only. Our data centers and cloud providers employ robust security measures, including firewalls, intrusion detection systems, and regular security audits. We also require login authentication and, where possible, multi-factor authentication for access to systems containing personal data.

For example, our payment processors are PCI-DSS compliant for handling credit card data, and our technology providers often have SOC 2 or similar security certifications. We also enter into data protection agreements where appropriate, requiring our vendors to protect your information.

Despite our best efforts, please understand that no method of transmission over the internet or method of electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security. You should also play a role in protecting your information by keeping your account login credentials confidential and using strong passwords. If you have reason to believe that your interaction with us is no longer secure (for example, if you suspect your account has been compromised), please contact us immediately so we can investigate and assist.

In the unlikely event of a data breach that affects your personal information, we will notify you and the appropriate authorities as required by law, and we will take all reasonable steps to mitigate any potential harm.

Data Retention

 

We retain personal information for as long as necessary to fulfill the purposes for which we collected it, as outlined in this Privacy Policy, and for legitimate business or legal purposes. The criteria used to determine our retention periods include:

  • Operational Needs: We keep your information while you are an active customer or user of our services. For example, account information and order history are retained so that you can review past transactions and so we can provide ongoing services to you.

  • Legal and Compliance Requirements: We may retain certain data to comply with legal obligations (such as financial and tax records, which we might need to keep for a number of years under tax laws). If a dispute arises or if we receive a legal hold or request, we will retain the necessary data until the issue is resolved or as required by the legal authority.

  • Business Purposes: We may retain some information for internal analysis, security, fraud prevention, or recordkeeping. For instance, server logs and security logs are typically retained for a period for analysis. Similarly, even after you close your account or stop using our services, we might retain limited information about you to prevent fraud or ensure we do not contact you again if you asked to not receive communications.

  • Statute of Limitations: In some cases, we keep data in line with the statute of limitations for potential legal claims. For example, if you had a contract with us, we might retain the information related to that contract for the period in which a claim could be brought.

When we no longer have a legitimate need or legal obligation to retain your personal information, we will securely dispose of it. This may involve deleting it or anonymizing it (so it can no longer be associated with you). For example, we may aggregate or de-identify usage data so that it no longer identifies individuals, and retain that aggregated data indefinitely for research and product improvement purposes.

You have certain rights and choices regarding your personal information. Fulfillment Hub USA is committed to honoring your rights under applicable privacy laws. The following is a summary of your key rights and how you can exercise them:

1. Access and Portability: You have the right to request confirmation of whether we are processing your personal information, and to request a copy of the information we hold about you. We will provide this in a readily usable format, which is usually electronic. For example, you can request a copy of the personal data you provided to us, such as the information associated with your account or orders. In certain states (like California and others), this is known as the “Right to Know” or “Right of Access,” which includes the right to receive information about the categories of personal data we have collected, the sources of that data, the business purposes for collection, the categories of third parties with whom we shared the data, and the specific pieces of personal information we have about you.

2. Correction (Rectification): If any of your personal information is inaccurate or incomplete, you have the right to request that we correct or update it. For example, if you change your phone number or notice an error in your contact details, you can ask us to update our records. Many clients can directly make changes by logging into their account settings on our website (for things like updating your address, email, or password). For any information not editable through your account, you can contact us to request a correction.

3. Deletion: You have the right to request that we delete your personal information that we have collected about you. This is sometimes called the “Right to Erasure” or “Right to Delete.” Upon a verified request, we will delete (and direct our service providers to delete) your personal information from our records, except to the extent we are permitted or required to retain it. Please note that there are legal exceptions to deletion—for example, we may retain information needed to complete transactions you have requested, to detect security incidents or fraud, to comply with legal obligations (like maintaining records of transactions for tax/accounting), or other internal uses that are lawful. We will inform you of any such exceptions if applicable to your request.

4. Opt-Out of Sale or Sharing of Personal Data: Fulfillment Hub USA does not sell personal information to third parties for monetary consideration. We also do not share your personal information with third parties for cross-context behavioral advertising as defined under certain state laws without your consent. If you believe we are in some way “selling” or “sharing” your data as defined by applicable law, you have the right to direct us to stop. For example, California residents have the right to opt out of the “sale” or certain “sharing” of their personal info – we reiterate that we do not engage in selling data, but if you still wish to make an opt-out request, we will honor it. We treat opt-out preference signals (such as the Global Privacy Control, if detected from your browser) as a valid opt-out of sale/sharing request to the extent required by applicable law.

5. Opt-Out of Marketing Communications: As described earlier, you can always opt out of marketing and promotional emails or texts:

  • For emails: Click the “unsubscribe” link in any promotional email we send. This will remove you from future marketing email campaigns. You may still receive transactional or service emails as noted.

  • For SMS/text messages: Reply “STOP” to any promotional text, or contact us requesting to opt-out of text messages (see SMS/Text Messaging above for details on this process) .
