Describe the products, packaging and any shelf-life, storage, lot or handling requirements. The team confirms suitability for the proposed facility.
Share replenishment or subscription patterns, bundle contents and peak order windows so the fulfillment scope reflects the actual program.
Agree receiving discrepancies, damaged goods and returns decisions. Define what needs your approval before work proceeds.
Details that make the difference
A pet accessory, a bag of food and a specialty product do not necessarily have the same storage or handling requirements. Identify the product type, packaging, dimensions, weight and any relevant shelf-life or environmental requirements. Provide the documentation requested during the suitability review. The facility and the proposed process must fit the actual product, not just the pet category.
If your products need lot or expiry information, explain how that information appears on inbound cartons and individual units. Confirm which records and rotation rules the program requires and how exceptions should be handled. Do not infer a certification, regulatory approval or temperature-controlled service from a general fulfillment offering. Those requirements need their own documented review before stock arrives.
Share the mix of one-time purchases, replenishment orders and subscription bundles. Identify whether a bundle has its own SKU or is assembled from components when ordered. Agree how component availability affects the sellable bundle and what should happen if one item is missing. A recurring customer order still needs a clear instruction when its contents cannot be fulfilled as planned.
For several sales channels, distinguish merchant-fulfilled stock from inventory already allocated elsewhere. Decide who owns availability settings, order holds and changes to a product listing. Test the intended connections and inventory behavior with representative orders. The purpose is to make the agreed operating flow explicit; a connection guide alone does not prove that every channel rule is configured for your brand.
Show the normal pack-out and any requirements for seals, inserts, bundles or protection from damage. State whether a mixed order needs separate handling for particular products. Confirm the materials and work in the proposal. Packaging requirements may change the time and cost of an order, so they belong in the initial discussion rather than as an unstated expectation after launch.
For damaged, returned or potentially unsuitable stock, define the hold and review process. Explain who authorizes a disposition and what information is needed to assess the item. A returned product should not automatically be treated as saleable inventory. Keep the written rules specific to the product and agreed program, including any restrictions on restocking or further handling.
From inquiry to an agreed launch
Share the catalog, packaging and relevant storage, shelf-life or traceability requirements. Confirm acceptance for the proposed facility before arranging the transfer.
Describe subscriptions, bundles, replenishment patterns and separate inventory pools. Agree what happens when stock is short or an order needs the brand’s decision.
Document receiving, packaging, inventory rules and returns disposition. Confirm any special requirements, availability and charges in the itemized scope.
Check representative orders and required records, then review exceptions with the team. Use verified results to refine the process without assuming new commitments.
